Gallery Assistant

Perrotin New York is seeking a personable and organized Gallery Assistant to manage the front desk and perform various office-related administrative tasks. 

The candidate must be able to efficiently multitask while working in a busy front desk environment. Attention to detail, excellent communication, and problem-solving skills are required to excel in this position.


Responsibilities:


- Greet incoming visitors, communicate exhibition information, and answer questions about artwork and programming

- Answer and redirect phone calls to staff and take messages

- Oversee daily receipt and sending of packages with couriers, FedEx, UPS, and USPS

- Check-in gallery appointments and liaise with art delivery personnel and other vendors

- Open and lock up front desk area/gates daily, ensure gallery tidiness 

- Receive and distribute mail and packages throughout the gallery

- Liaise with event staff and vendors for gallery openings and preparation for on and off-site special events (dinners, talks, receptions, book signings etc.)

- Assist with travel arrangements and accommodations for staff and artists as needed

- Manage gallery penthouse apartments for visiting artists or staff as needed

Required Skills & Experience:


- Bachelor’s Degree in a related field

- Prior experience in a museum, gallery, or other arts institution

- Knowledge of contemporary art and gallery represented artists

- Excellent written and oral communication skills

- Self-starter with the ability to multitask and problem solve 

- Polished demeanor 

- Proficient in InDesign, Photoshop, Microsoft Office Suite, Apple devices and G Suite

- Familiarity with File Maker or similar art database system


This is a Full-time position, Tuesday - Saturday, 9:45 am - 6:00 pm.

Summer hours are Monday-Friday, 9:45 am-6:00 pm; Regular hours, resuming in September, are Tuesday-Saturday, 9:45 am -6:00 pm.

Post Sale Registrar

Perrotin seeks a full-time Post Sale Registrar to coordinate all shipments of primarily sold works from the New York gallery. The role is integral to the gallery’s business and requires a candidate with superior communication skills, absolute discretion, highly organized with a keen eye for details, and steadfast ability to follow through on all assigned tasks. 



The candidate should have a comprehensive understanding of best practices for packing and crating, modes of transit, import and export compliance in the US and Internationally necessary. Knowledge of US sales tax, import duty, VAT, and insurance are required. Familiarity with US & International shippers is integral to the position.  Must be able to handle shipments in the most cost effective and efficient means possible with the utmost attention to detail.




Responsibilities include but are not limited to: 



-Provide artwork details, condition reports, packing instructions and installation instructions to shippers/client. 

-Obtain competitive quotes to present to clients and Directors upon request. 

-Coordinate release from the gallery and/or storage.

-Follow up with shippers to obtain POD and upload to database.

-Invoice clients for shipments and submit payments for vendors.

-Ensure works and their movements are up to date, all relevant shipping documents uploaded to the database.

-Prepare invoices for shipping and QuickBooks links for payment. Update payments in database. 




Key Skills/Requirements: 



-BA or BS required, preferably in an art field or extensive art experience.

-Strong knowledge on Mac, google sheets, database systems. 

-3-5 years experience in art shipping and installation, with a firm grasp of technical aspects for all mediums of art. 

-Superior organizational skills with an ability to prioritize, multi-task and meet tight deadlines.

KEY RESPONSIBILITIES:

Registrar

Perrotin Los Angeles seeks a full-time Registrar to join our team. 


The Registrar works closely with the gallery’s exhibitions, operations, sales, and finance teams locally, in the US, and internationally. The role is responsible for coordination of all incoming and outgoing shipments related to exhibitions, showrooms, art fairs, and special projects. 

 

The candidate will be a strong team player and highly organized with knowledge of best practices related to condition reporting, handling, packing, crating, transportation, shipping, storing, and insuring of artworks; familiarity with US and international shipping procedures, and customs and tax regulations; experience in art handling and inventory management; and a track record of working with a US and international network of shipping companies and customs brokers.

 

Attention to detail, and ability to exercise professional judgment, prioritize and meet tight deadlines are vital to the role; as are excellent communication skills, discretion, and ability to work collaboratively and independently.

 

This position is full-time, Monday through Friday, and may require flexibility for additional hours based on the needs of the gallery. This in-person position is based in Perrotin’s Mid City gallery but may require some travel and work from other locations.

 

Responsibilities include but are not limited to: 

 

Exhibitions, fairs, special projects, showroom viewings, and general inventory (on- and off-site)

·      Organize, monitor and manage incoming and outgoing shipments and logistics, both domestic and international.

·      Liaise with the gallery’s global team, artists, clients, consignors, lenders, external exhibition organizers, and vendors, to ensure accurate artwork information, handling/packing/crating instructions and installation instructions are provided to shippers, handlers, clients, and appropriate receiving parties.

·      Document the condition of incoming and outgoing artworks, and create and file condition reports.

·      Liaise with artists, artist studios/liaisons and vendors on framing, fabrication and conservation/restoration as needed.

·      Liaise with insurance and customs brokers to obtain certificates and bonds.

·      Obtain competitive estimates for required services, prepare and monitor budgets.

 

Post-sale deliveries and associated client services

·      Maintain an understanding of current US state sales tax laws in relation to invoicing and shipping, working with the sales and finance teams to ensure accurate sales tax billing

·      Liaise with the sales team and their clients to initiate and coordinate post-sale pick-ups and deliveries, including obtaining competitive estimates for framing, packing, crating, shipping, installation, insurance, conservation/restoration and other services where required.

·      Act as the client’s liaison where needed for required for delivery and installation scheduling, needs.

·      Prepare invoices to clients for shipments, and submit payments for shipments for vendors.

·      Prepare release forms to clients and their shippers for pick-up of artworks.

·      Follow up with shippers to obtain proof of delivery and other documentation required for compliance purposes.

 

Inventory management

·      Coordinate transport and release of artworks to and from the gallery and storage locations, preparing and filing related paperwork.

·      Maintain the on- and off-site inventory database, updating movements and locations, and uploading relevant shipping and customs documents.

·      Manage all incoming and outgoing paperwork for all associated locations.

·      Conduct regular condition reports and inventory audits.

·      File updates with the insurance broker.

·      Prepare reports as required.

 

Key skills and experience: 

·      The ideal candidate will have at least three years of experience with similar duties to those outlined above, working in a full-time role as a registrar at a contemporary art gallery, fine art shipping company, or art institution.

·      Experience with secondary market consignments a plus.

·      Proficiency with a Mac-based environment, including Google Suite (Gmail, Calendar, Sheets), Microsoft Office Suite (Word, Excel, PowerPoint), and Adobe Acrobat Pro.

·      Proficiency with Adobe Photoshop and InDesign a plus.

·      Valid CA driver’s license.

·      Ability to lift 25 pounds.

 

Compensation and benefits:

This is a full-time position. The working hours for this position are Monday to Friday, 9:30 am to 6:00 pm. Additional hours of work will be occasionally required.

  

The pay scale is $72,000–82,000 annually. Salary is commensurate with experience.
